What's the Difference Between a Microsoft Account and a Local Account?

BACK TO THE USER · EVERYDAY HOW-TO

Windows asks you to sign in with an email address, but you remember when a computer only needed a username and password. Both account styles still exist, with different tradeoffs.

The quick answer

A local account belongs to one Windows computer. A Microsoft account is an online identity that can be used with Windows, OneDrive, Microsoft Store, and other Microsoft services. You can use Windows in either arrangement, though setup options vary.

What a local account does

A local account signs you into that particular computer. It can work without internet access and doesn't automatically connect files to OneDrive. Your local password or PIN controls that Windows profile, while services like email may still use separate online accounts.

What a Microsoft account adds

A Microsoft account can sync selected settings and tie together subscriptions, purchased apps, OneDrive, recovery features, and device information. The sign-in email doesn't necessarily mean the Windows files are stored online, but cloud features may be offered or enabled during setup.

Password versus PIN

Windows Hello PINs are usually device-specific sign-in credentials. Your Microsoft account password is used for the online identity. A PIN not working doesn't automatically mean the online password changed. Follow the on-screen recovery options for the correct account type.

How to check what you're using

  1. Open Settings → Accounts → Your info.
  2. Look for the account details and whether Windows shows a Microsoft account or a local account.
  3. Review Accounts → Sign-in options to see enabled methods.

Which is better?

There isn't one right answer for everyone. A Microsoft account can simplify cloud features and account recovery; a local account offers a more self-contained Windows sign-in. The important thing is understanding how your files, recovery methods, and subscriptions are linked before switching.

Avoid the dangerous shortcut

Don't create a new account and delete the old one without first confirming which profile holds your Desktop, Documents, and Pictures. Different Windows accounts can have separate folders, and deleting one can remove its data.
