What Is That Little Cloud Icon Next to My Files?
BACK TO THE USER · EVERYDAY HOW-TO
A blue cloud, green check, or circular arrows appear next to your documents. They're not random decorations: OneDrive uses them to explain whether a file lives locally, online, or is still syncing.
The quick answer
In OneDrive-synced folders, a cloud icon generally means a file is available online and may download when you open it. A green check indicates it is available locally, while syncing arrows show work in progress. Exact icons can vary by OneDrive version and settings.
What 'online-only' means
An online-only file can appear in File Explorer without occupying its full local size. Opening it usually requires internet access to download the contents. If you're going on a trip with unreliable connectivity, mark important files for offline use before leaving.
Make a file available offline
- Open File Explorer and find the file inside your OneDrive folder.
- Right-click and look for Always keep on this device.
- Allow OneDrive to download it and check its status.
- Open a file while online to verify it works before you need it offline.
Why icons can get stuck
OneDrive may be paused, signed out, waiting for internet access, or encountering a file conflict. Click its cloud icon near the clock to view sync status and errors. Look for names, paths, or file types causing trouble before deleting anything.
Syncing is not the same as a backup
If you delete a synced file, that deletion may propagate to other connected devices. Version history and recycle bins can help in some cases, but they aren't a substitute for an independent, tested backup of irreplaceable files.
What if you have two Desktop folders?
Windows can have a traditional local Desktop and a OneDrive-backed Desktop. Confusing the two can make items seem to disappear. Before moving entire folders, check their full paths and the status of OneDrive's folder-backup settings.
