What's the Difference Between a Shortcut and a File?
BACK TO THE USER · FILES & FOLDERS
You delete an icon from the Desktop and wonder whether the program or document disappeared with it. The answer depends on whether that icon was the real thing or merely a shortcut pointing to it.
A shortcut is a signpost, not the destination
A shortcut is a small link that points to a file, folder, or program somewhere else on your computer. Windows shortcuts often show a little arrow on the icon. Deleting that shortcut generally removes the signpost, not the original item.
How to tell what you're looking at
- Right-click the icon in Windows and choose Properties.
- If you see a Shortcut tab, check the Target field. That's where the shortcut points.
- Choose Open File Location when available to find the target.
Some taskbar icons, Microsoft Store apps, and cloud shortcuts behave differently. Don't assume every icon with an arrow is a traditional Windows shortcut.
What happens when you delete one?
Deleting a normal shortcut from your Desktop does not uninstall the app or erase the document it opens. Deleting the actual file or folder, however, may send that item to the Recycle Bin or remove it permanently, depending on its location and how you deleted it.
Why does my shortcut say it can't find the item?
The original may have been moved, renamed, uninstalled, or stored on a disconnected drive. Try finding the original item and creating a new shortcut. Don't install unfamiliar “shortcut repair” utilities to solve a missing link.
Make your own Desktop shortcut
In File Explorer, right-click a file or folder. On Windows 11 select Show more options → Send to → Desktop (create shortcut) where available. This leaves the original in place.
One last thing
A shortcut is useful precisely because it does not have to store your document on the Desktop. Keep valuable files in organized folders and use shortcuts for convenient access.
